CardGradingTracker
No WordPress · No spreadsheets · No chasing updates

Your grading spreadsheet and your payout spreadsheet are the same system now.

If your shop takes cards in for grading and sells on consignment, this replaces the spreadsheets you run both with. Customers get a link to follow their cards — no account to make. You move each batch along with one click and run payouts off your own price table. Free covers 10 new cards a month; Pro is $59 a month if you outgrow that.

What you get

EVERY FEATURE · BOTH PLANS · NO PAID ADD-ONS

01

A photo and a reference number for every card at intake. Front and back, taken the day the card comes in. The photo is on the customer's page, so nobody argues about which card was whose.

02

Their own tracking page, under your shop's name. Each customer gets a link for their batch — no account, no password. Mistyped an email? Fix it in your console and resend in one click.

03

One board for every batch at PSA, CGC, SGC and BGS. You move a batch one stage with one click. Every customer on that batch gets an email the same minute.

04

A stall flag when a batch sits too long. Each service level carries the grader's own window (PSA Value is 90 to 100 business days right now). A batch past its window is flagged on your board and in an alert email to you.

05

Payout runs from your own price table. Your tiers, your listing fee, your deductions. A card that sells for $7.00 at 80% pays your customer $4.61, and the statement shows that math line by line.

06

One balance per customer. What they owe you for grading comes off what you owe them for consignment. If the balance is negative, the system shows their cards as held. Your customers see the same numbers you do.

07

Your old spreadsheet, imported. Paste it in, match the columns once, and the rows become live consignment items. Statements export as a CSV, and payout runs export a journal your bookkeeper can post to QuickBooks.

How it works

FOUR STEPS · NO INSTALL · NO WORDPRESS

1

Sign up free

Shop name, your name, work email. Confirm the email and your shop is open. No card, no trial clock running yet: the 14 Pro days start when you confirm, not when you fill in the form.

2

Add cards

Take the intake photo, pick the grader and service level, and the card gets its reference number. Or import the spreadsheet you already run. Your first 10 new cards each month are free.

3

Customers follow along

Each customer watches their own cards move: received, shipped, at the grader, grades back. You advance the batch in one click and they hear about it by email. When a grade lands, the cert number goes on their page with a link to the grader's own cert record.

4

Run payouts

Mark consignment cards sold and the portal works out each customer's share from your price table. Run the payout, send the statements, and every balance nets off in the same place.

The two jobs, up close

INTAKE · TRACKING · PAYOUTS · THE BALANCE

★ THE DIFFERENCE
Netted customer balance

One balance, not two

Plenty of customers owe you grading money on one sheet and have consignment money coming on another. Here it's one number. While a customer is under water, their cards show as held — which is how most shops already play it, just kept on a whiteboard or in someone's head. Before building this we looked at the trackers shops actually use; none of them put the two sides together. It's the reason this product exists.

Intake

A photo and a reference number on every card

Every card that comes over the counter gets photographed, front and back, and given a number. That number follows it to the grader, onto the shelf, and into the payout. The "which one was mine?" argument just never happens.

Customer portal

Your customers follow their cards — no account needed

When someone drops cards off, take down their email. They get a link that shows where their batch is — received, shipped, at the grader, grades back — and a short email each time it moves. When the grades are in, the cert number is on the page with a link to check it against the grader's own record. Anyone who wants their photos, balance and payout statements can claim the full portal, but most never bother. The link answers the "any update?" question before they have to ask it.

Batch board

Every batch, every grader, one board

PSA, CGC, SGC and BGS batches sit on one board. Move one along and every customer on it gets an email the same minute. If a batch sits past the window its service level allows, it's flagged on the board — you'll usually hear about it from us before a customer has to ask.

Payout runs

Consignment payouts in one pass

Once a week, or whenever suits you, run the payouts. Your tier table sets the percentages; a $7.00 card at 80% pays the customer $4.61, and their statement shows the math, line by line. The payment fee comes off once per payout, not per card. The run exports a CSV for your files and a journal your bookkeeper can drop into QuickBooks.

Import

Your spreadsheet comes with you

The spreadsheet you're running now comes with you. Paste it in, match four columns once, and the rows are live — customers, cards, what's sold, what's owed. Start with the real thing: the free 10 each month can be actual consignments, not test data.

Your brand

Your name on it, not ours

Everything your customers see carries your shop's name — the tracking page, the emails, the statements — with your tagline and your colour. Hosting, updates and backups are ours to worry about. There's no WordPress to patch and no plugin to break.

What it doesn't do

IN PRINT · BEFORE YOU ASK

  • It doesn't follow PSA for you. PSA gives nobody a submission status feed. Their public API checks cert numbers, and that is all it does. Anyone selling automatic PSA tracking is polling your account or guessing. Here, you advance the batch in one click and your customers are told the same minute.
  • It never asks for your grader password. Not PSA, not CGC, not anyone's. There is no field for it anywhere in the product.
  • It doesn't move money. You pay your customers the way you do now: PayPal, Zelle, check, cash at the counter. The portal works out who gets what, shows the working, and keeps the statements.
  • It isn't a point-of-sale system and doesn't list on eBay. It does the two jobs your POS leaves in spreadsheets: grading submissions and consignment payouts.

Straight answers

NO FINE PRINT · NO OVERSELLING

Q1Does it track my PSA submissions automatically?

No — and be careful with anyone who tells you otherwise. PSA doesn't give anybody a live feed of submission status; the only thing their public API does is check a cert number. So here you move the batch yourself, one click, and your customers get an email the same minute. When a grade comes back, the cert number goes on their page with a link to PSA's own record. We don't ask for your grader password, and we don't pretend there's a connection that isn't there.

Q2I run payouts from a spreadsheet. What changes?

Paste it into the importer and match four columns, once. From then on your price table does the math: the payment fee comes off once per payout, and each customer gets a statement that shows every line — what sold, their percentage, what was deducted — instead of a total they're asked to take on trust.

Q3A customer owes me for grading but has consignment credit. Who tracks that?

It nets them, automatically. Grading charges come off consignment credit and the customer sees one balance, with the math shown. While the balance is negative, their cards show as held. Most shops run that rule by hand today; here it just runs.

Q4What does it cost after the trial?

Nothing, unless you decide you want Pro. Your 14 free days end and the shop simply lands on Free: 10 new cards a month, every feature, no charge, for as long as you like. The trial can't charge you — we never took a card. If you do choose Pro, it's $59 a month flat for unlimited cards, billed monthly until you cancel. We'll email you before the first charge, and cancelling is one click in your console. No setup fee, no per-card caps.

10 new cards a month are free.

Put real work through it — your actual consignments, your actual submissions — and watch the intake photos, the tracking page and the payout math run on your own numbers.
